Receptionist

Primary Responsibilities

FRONT DESK
• Daily front desk coverage
• Answer, screen, and transfer all incoming phone calls
• Greet all office visitors
• Create visitor welcome signage for on-TV display
• Provide elevator access to key visitors and team members

MAIL
• Open, stamp, and distribute incoming mail
• Maintain postage meter & mail room organization
• Prepare FedEx, UPS, and certified mail for sending
• Support with folding, stuffing, and preparing all checks to be mailed out daily (L)
• Coordinate courier services for same-day delivery (when applicable)
• Receive packages and freight deliveries and notify team members of arrival

FRONT OFFICE ADMINISTRATION
• Maintain filing systems
• Maintain front desk check log & receive signatures from trade partners
• Maintain cell phone list updates in TEAMS
• Support with TEAMS Pogue Team Member List (L)

CONFERENCE ROOM MANAGEMENT
• Prepare large and small conference rooms for client meetings
• Support in coordinating catering for conference room meetings
• Return the conference room post-meeting
• Refresh (beans, milk), clean, and maintain first-floor coffee machine daily
• Support with stocking paper goods, fridge, and refreshment areas (L)

SUPPLIES
• Order specialty office supplies (KIP Printer bond paper (Archive Supplies), printer ink (Veterans Ink), and cleaning crew supplies (Polock)
• Support with the inventory and ordering of general office supplies, cleaning supplies, snacks & refreshments (L)

• Oversee and assist with conference room Outlook calendar.
• Other duties as assigned • Ability to interact with staff (at all levels) in a fast-paced environment
• Ability to remain flexible, proactive, resourceful, and efficient
• Demonstrated ability to work with and support individuals from different departments
• Innovative problem-solving skills
• Ability to work both independently and as part of a team
• Working knowledge of office equipment
• Knowledge of office management systems and procedures
• Attention to detail
• Ability to maintain organization
• Professional phone presence
• Internal and external customer service

Office Hours
Monday- Thursday- 8:00-5:00 pm
Friday- 8:00-4:00 pm
